The Booking & Payment Process (7)

If you book through The Wedding Car Hire People, 25% is due at the point of booking and is taken on behalf of the wedding car owner as a non-refundable deposit. The balance is due 60 days before the wedding, you’ll receive an email reminder a few days before it’s due.

When you book through The Wedding Car Hire People, both you and the wedding car owner agree to the terms & conditions, including the cancellation (& privacy policy). The terms and in force to protect you and the wedding car operator. Each term category and term is explained clearly to avoid any misunderstanding or ambiguity. None more so than the cancellation policy.

In summary, the deposit is always non-refundable. If you cancel your booking the supplier has less opportunity to to fill that date, so the level of compensation you are required to pay the supplier is dependant on how much notice you give.

When you are ready to book, you need to complete our wedding car booking form, we’ll then book you in to our system as soon as possible, usually within a few hours, and confirm the booking by emailing a confirmation.  The booking confirmation email will contain a link which you need to click to check your booking details and to make the deposit payment, the deposit is 25% of the total booking value and needs to be paid as soon as possible, the car is not reserved for you until the deposit has been paid. You need to pay securely online through your booking page, by credit or debit card, all major cards are accepted, there is no additional charge for paying by card.

The balance is due 60 days prior to the wedding, further instruction will be sent to you by email to remind you. You are of course welcome to pay the full balance at the point of booking.

If your book a wedding car and your wedding is in less than 60 days then the full balance will be due at the point of booking.

When you should book a wedding car depends on your priorities and budget.  The average wedding car booking is taken 12 months in advance of the wedding date, but we have a mixture of customers who book 2 years in advance and some that book a wedding car last minute.

To reserve a wedding car all you necessarily need is a wedding date, everything else can be amended and refined as when they can be confirmed.  We do not charge an admin fee to change your booking details, however we may need to adjust the price of the booking if there is a significant change to the itinerary.

The general advice would be, if you have set a wedding date and you want a specific car then you should book it as soon as possible so you don’t miss out.

We accept Visa, MasterCard, and American Express credit and debit cards, plus Apple Pay & Google Pay through our secure online payment system, using our third party payment providers – Stripe.

The Cars (20)

We understand some concerns around hiring a vintage car, as some people may think they are less reliable than a modern car. This is a bit of a myth. The cars are very well maintained, even some the older cars that are exempt from MOT tests, are still taken through the test for their owners piece of mind. Furthermore, vintage cars have much less technology, so far less things for faults to occur on.

Each car has a set mileage range, which means we won’t quote you a price if your wedding falls out of a specific cars range from its base. This ensures the classic and vintage cars are not ‘overworked’ before they reach you.

For your piece of mind, we have strong terms and conditions to protect you in case a problem develops with the car you have booked. The owner is required to contact you and offer an alternative or a refund if the car becomes unavailable prior to the day. We will also work hard to find an alternative car if the worst happens.

Yes, all cars listed on The Wedding Car Hire People are chauffeur driven, meaning, as standard the car comes with a driver. Currently, there isn’t a “self-drive” option, due to licensing and insurance restrictions.

For photography purposes, the hirer is usually welcome to sit behind the wheel, however this is at the discretion of the driver / owner, and should be discussed prior to the day to avoid disappointment.

The wedding car driver / owner will have decorated the car with matching ribbons and bows prior to arrival at the collection point. If you haven’t made a request for a specific colour then the standard colour will be provided, this will be specific to the car, but typically it is white or ivory.

Other decoration, may have been added, this will be in keeping with the style of the car. You should discuss this with the driver before the event to ensure you are aware of an additional decoration.

Some special requests may be accepted, however this is at the discretion of the driver / owner.

Traditionally, the bride would travel to the ceremony with whomever was “giving them away”. However, every wedding is unique, you can travel with anyone in the bridal car! Providing the seating capacity of the wedding vehicle is not exceed, you could travel with of members of the bridal party. After the ceremony, the happy couple would usually travel alone.

Bridesmaids, groomsmen and parents would usually make their own way to the reception venue. Or possibly in other hired wedding transport, if budget allows.

This will be determined by a number of factors, including the distance you need to travel, your budget, the number of guests you need to transport & and the capacity of the wedding cars you prefer.

If the ceremony venue is close to where you need to be collected, then the car could logistically do a couple of runs, maybe taking the bridesmaids first then returning for the bride. Our rule of thumb is, if the ceremony is more than 15 minutes drive away, then you should consider hiring another vehicle.

En route to the event it is customary to put ribbons on the bonnet, usually in white or a light colour. The custom dates back to friends of the bride and groom decorating the wedding bed with flowers and ribbons. Well-wishers would escort the couple to their marital bed, “bedding” the newly-weds. It was said the crowd wouldn’t leave until the new husband and wife has stripped off and were in bed together, symbolising the importance of procreation. Luckily new couples don’t have an audience, but the decorating of the wedding car with ribbons is thought to stem from this ritual.

Wedding Ribbon is typically 38mm wide and made of satin material. As a result they are generally nice and soft handle when handled, reducing any course friction against wedding car paintwork.

The wedding car provider will always provide and fit ribbon & matching bows to the car as part of the standard service. Typically, this will be white or ivory. However, if you wish to provide your own ribbon, maybe personalised, you should supply around 6 metres in length.

Yes. All wedding cars available for hire through ‘The Wedding Car Hire People’ Website will have all the necessary insurance in place to provide a wedding car hire service.  This is included in the price quoted.  To be sufficiently covered,  all transport that provides a wedding service must have specific wedding car insurance (not just standard cover) and should have public liability insurance. The is available to be seen upon request, in line with the code of conduct, laid out by the National Association of Wedding Car Professionals.

All cars available for hire through ‘The Wedding Car hire People’ website are maintained to high serviceability standards. Specifically, they have underdone the statutory annual MOT test, unless the vehicle is less than 3 years old or over 40 years old which are exempt under MOT exemption rules.  The presentation of the cars is as equally important, the interior and exterior of wedding cars are regularly reviewed and defects repaired at the earliest opportunity.  As per our terms and conditions, the photos, video, descriptions and customer reviews of the cars should reflect the actual condition of the car, if you have any concerns about the quality of the car you are interested in booking you should arrange an appointment to view the wedding vehicle.

Yes.  All wedding cars will come with at least one umbrella available for customer use.  You should check the weather forecast for your wedding day and if you feel further umbrellas would be required please request this to be to be provided directly with the driver during the pre-wedding communication.  All umbrellas remain the property of the driver/company and should be returned to the driver and car before the wedding car service is over and the car departs to return to its base, failure to do so may result in additional charges added to the wedding car booking, in line with our terms and conditions.

Yes.  All wedding cars displayed on ‘The Wedding Car Hire People’ website are of the actual cars that are available to hire from us. We take care to ensure that all photos, videos, descriptions and customer reviews are as accurate as possible. The car you book is reserved for you and will be automatically blocked out of our quotation system, to prevent double bookings.  The car you book will be the one that turns up on the day, unless there is an emergency situation, where a replacement vehicle may be sent, subject to our terms and conditions.

Unless otherwise stated, the cars will be decorated with ivory ribbon and bows as standard.  Other colours may be available upon request, but this should be discussed with the driver during the pre-wedding communication.  Some wedding vehicles may have additional decoration for example flowers on the parcel shelf.  Usually, the driver would not allow any additional decoration to be added to the car on the day that has not been previously agreed to with the car owner prior to the wedding day, this includes but not limited to, additional ribbon, bows, flowers and banners etc.  This is because it could cause damage to the car which the customer would be liable to pay to fix any damage, subject to our terms and conditions.

Unfortunately, we, nor our drivers are licence to sell or dispense alcohol and as such providing alcohol would be against licensing laws, even when offered as complimentary or free.  That said, if you bring a bottle, your chauffeur will be more than happy to serve it to you. Alternatively, non-alcoholic bubbly can supplied upon request, subject to our standard terms and conditions.  Most, if not all, wedding car suppliers will be in the same position, and so anyone offering complimentary champagne, without the necessary licenses, are breaking the law and liable for prosecution if caught. We wouldn’t put our drivers in that position.

We have taken care to provide high quality photos & videos, detailed descriptions and presented recent customer reviews for all cars available for hire on ‘the wedding car hire people’ website.  The wedding car ratings and reviews and your best guide as to the quality of the cars and the service provided by its specific driver, all reviews have been independently verified and recent. You are more than welcome to view any car before booking, this will need to be by appointment only, as the cars are stored on private property and we will need to arrange for someone to meet you at the relevant address. The majority on the cars are stored individually with the relevant drivers, so if you need to see more than one car we will need to make individual appointments for you.  Please email us directly to arrange a viewing.

Each car will have its own specific seating capacity, this can be seen in a number of different places within ‘the wedding car hire people’ website and email communication. Where a car is displayed, whether it is on a wedding car list page, an individual wedding car detail page or on the wedding car quotation page, the maximum capacity is displayed along side it.  It is also dismayed on the email quotation and booking confirmation. The maximum capacity always excludes the driver, so as an example, if the maximum capacity is displayed as 7, then the actual maximum capacity is 7 passengers plus the driver.

The maximum capacity stated is the maximum capacity, plus the driver, that the car can legally hold.  Please do not ask a driver to carry more than the stated capacity as refusal often offends, you would be asking him/her to break the law and if there was an accident they wouldn’t be insured.

Please bear in mind that your bridal party / groomsmen will be all different shapes and sizes and although the maximum capacity shown is the legal capacity, the actual capacity is dependant on the size of the people you are wanting to transport.  Height and legroom should also be considered.

No smoking is permitted in any of the wedding cars, this applies to tobacco related products and vapes. Smoking will cause damage to the cars.  The customer takes full responsibility for their whole wedding party,  if you or your wedding party smoke you will be asked to exit the car, the booking will be terminated, under our terms and conditions, and the hirer will be billed for a specialist full valet.

No hot food of any kind will be permitted in any car, as above you will be liable for additional billing if you do not adhere to our terms and conditions.

Drinks are permitted is most cars, you should check with the driver if you intend to bring your own drinks, as some cars could be irreversibly damaged if there there was a spillage or the car were soiled in any other way.

One of the most frequently asked questions is “is there a back up car if the car becomes unavailable for any reason’.  We understand your concerns regarding this point. The cars are maintained to high serviceable standards and it is highly unlikely that it will break down, however when dealing with machinery and people you can’t account for everything. In terms of a back-up, there isn’t a back-up for every car, however one of the benefits of booking through The Wedding Car Hire People website, is that we have access to a large network of cars and drivers, so if the worst happens we are best placed to offer assistance and alternatives, subject to our standard terms and conditions.  We do advise that you should always have a back up plan, we have written a help guide to wedding day preparation, specifically regarding wedding cars, to help you ensure that the day runs smoothly.  You can read it by clicking here.

The Chauffeurs (3)

Most wedding car owners work with a pool of drivers and a network of other wedding car companies which ensures that they are never short of drivers. If the allocated driver becomes unwell, another driver will be allocated. If a driver becomes unwell whilst providing the service, the owner would do what they could in the time available to get a back up driver.

When you book a car through The Wedding Car Hire People you can be sure that the driver of the car on the day will be appropriately dressed.  For the majority of the cars, specifically classic, vintage and modern cars the drivers will be smartly dressed in a suit, tie and shiny shoes.  If you book an unusual or unique car then a smart suit may not be the most appropriate attire.

The Pricing & Quotation Process (8)

This type of wedding is becoming more prevalent in the UK. Although at first you may think that hiring a car may not be necessary, they could still provide a service. Driving to the ceremony with the person who is “giving you away” is a tradition you don’t need to miss out on. The car could collect you and take you for a short drive, before returning for some great photography when you exit the car. They also make for a great photography prop after the ceremony. If time allows, you may also consider a drive as newly weds, possibly visiting another location for more photos.

A typical hire is 3 hours, from the time of collection to the time the car leaves you to return to its base, having completed the agreed itinerary. There are lots of exceptions, however you have full flexibility to determine the number of hours by selecting the required amount on the quotation form. If your plans change closer to the date, speak to your wedding car supplier to add additional time, this is usually chargeable at a set hourly rate.

TIP: Always plan more time than you need.

Yes, the distance the car needs to travel is one of the key factors in the pricing structure for most wedding car suppliers. However, most pricing structures will include a certain number of miles, before they charge extra for mileage. All quotes through The Wedding Car Hire People will include all mileage and time in the quoted price, there are no hidden extras, the price quoted is the price you pay.

The wedding car service is standard, by which we mean, the service provided is high quality and consistently delivered. There are no extras to pay, unless, on the day you request a deviation from the agreed itinerary, which may of may not be acceptable.

The price that is generated from our instant quote system is specific to you and your requirements and takes your whole itinerary in to consideration including:

  • the selected car,
  • the day of the week,
  • the season (High, Medium or Low),
  • the total number of miles from base to base,
  • the number of hours you require the car to stay on site,
  • whether it’s a “special day”, e.g. Valentines Day or Christmas Day etc.

Tips & Advice (13)

As with everything in life, you get what you pay for, wedding car hire is no different. Don’t hire a supplier than is willing to cut corners to give you the best price. Quality & professional car owners will be fully insured for wedding hire, having public liability insurance & maintain their car well, all this costs money. If you think the price is too good to be true, then it probably is.

Having said that, you also don’t need to pay over the odds. Here are some tips to get the best price.

  • Don’t hire the car for longer than you need. With our quotation system you can see the difference in the price for hiring the car for additional hours. You probably won’t need any more than 3 hours, unless your venues are particularly far apart.
  • Don’t hire more cars than you need. You don’t necessarily need to hire a car for you bridesmaids and a car for yourself. It is usually not much more expensive to hire a larger car to accommodate everyone, or if logistically possible, the car could do 2 x trips, rather than 1.
  • Book your wedding out of season. The busiest time for wedding car hire is May to September. Wedding car hire prices outside of the high season are generally cheaper. Our quote system will take seasonality in to account.
  • Book a mid-week wedding. The busiest day of the week is Saturday. Most wedding car operators will have a sliding scale to their pricing structure, with a premium Saturday typically around 25% higher than a mid-week hire.
  • Book as far in advance as possible. Owners love to fill their diary as early as possible.

The simple answer is for you to the drive yourself in similar road conditions (same day / time of the week), this will give an accurate picture of the length of time it takes to get from A to B. We would also advise to factor in additional time for entering and exiting the car plus additional time if you are wanting to stop for photography.

The typical length of time customers hire a car for is 3 hours, from the initial collection time until the car returns to its base. This is the default length of time we quote you for, unless you change it on the quote form.

The key to running a smooth run day is planning, particularly ensuring you have allocated enough time to do the things you want to do.

If you are getting married in a Church then typically the driver will aim to get you to the ceremony a 5 minutes before the scheduled ceremony start time. This is to ensure that you have time to exit the car gracefully, have photos taken and walk to the entrance. This is of course very flexible, if you have your own ideas about timings then this can be incorporated in to the itinerary.

Registry office weddings car slightly different, as usually you will not have met the registrar before your wedding date. It is part of the legal process for the registrar to meet you before the ceremony commences, so typically they recommend arriving 15 mins before the ceremony start time. This will vary from district to district, but don’t be concerned as the timings of the car itinerary can be clarified and amended closer to the date.

You will have pre-arranged with the reception venue what time you will need to arrive, this should be discussed with your photographer when you discuss the photography plan. The wedding car driver will be at your disposal and be ready to depart when you are ready.

We have helped 1,000’s of customers find the right cars for their wedding day, some book 2 years in advance, some book 2 weeks in advance. The average is length of time between booking and the wedding date is 12 months.

However, this depends on your requirements and how important a wedding car is for your big day. If you have special / unusual requirements, then you need to give yourself as much time as possible to find the right vehicle/s.

For instance if you need wheelchair access, or nothing but a VW Campervan will do, then you should be planning 18 months in advance.

If you just want a nice chauffeur driven car to take you from A to B, and are not too bothered about photos, then you can probably leave it until around 6 months prior to the date to book.

As we offer the opportunity to book with a relatively low deposit of 25%, with the balance not due to 60 days before the event, then this gives you the flexibility and the budget to book as far out as you can.

Usually, you would provide transport for yourself, the bridal party and possible the grooms party. All other guests would make their own way to the ceremony and venue. There are obvious and numerous exceptions to this. You may want to consider transport for/if the the following.

  • The is no is no on-site accomodation at the reception venue.
  • If you have elderly guests.
  • If you have guests who wouldn’t otherwise be able to transport themselves.
  • You want to take the pressure off the logistics of dozens of guests trying to find their own way.
  • If there are parking restrictions at the venue.
  • If there venue is ‘out of town’ and you think it would be unreasonable to ask that guests make their own way.
  • You want to cut the cost of individual guests making their own way to the ceremony/venue.

You want your wedding day to be as stress free as possible.To prevent the panic, you need to prepare and plan in case something goes wrong and you need to sort it out.  The following list is a guide to help you be prepared for your wedding car hire and ensure you’ve done everything you can to ensure the smooth running of the wedding day.

  1. Ensure that the car you have ordered can carry the number of people you need to transport.  Some cars are smaller than a standard car, so don’t be caught out and make sure you know the cars seating capacity.  It is against the law to carry more people than the car is designed for.
  2. If you are expecting to transport babies or children using the wedding car, then ensure you have checked that the car has the necessary seating and safety belts. Unlike Taxis, wedding cars are not exempt from standard road traffic laws.  The drivers will not allow children to travel illegally.
  3. If you require a stop for photos before your onward trip to the reception venue, ensure that this has been accounted for in the timings on the itinerary.
  4. Ensure you have checked your itinerary and that you are happy with the timings.
  5. Travel the route yourself and inform the wedding car provider if there is anything you think they should be aware of.
  6. Check if there are any events happening in the local area on your wedding day and if they will impact the journey in any way.
  7. Speak to the ceremony & reception venues and find out where the car can pull up outside to let you out.  Try to arrange for a car space to be left clear out side the church.
  8. Ensure that parking and entry permits are in place for venues that require them.
  9. Make sure that you are contactable on the phone number you have provided, it is best practice to provide a mobile phone number and a land line number,
  10. Have the wedding car hire company contact details to hand.
  11. Most important – Make sure you have a ‘Plan B’. In the unfortunate and highly unlikely event that wedding car develops a problem (either on route to you or to one of the venues) you should have someone you can call to collect you.  Time is of the essence and we will be limited in the help we can provide you, so having a friend, neighbour, groomsmen or whoever to act as a back up will take the stress out of the situation and enable you to get moving asap.
